The 10-Second Rule That Could Make or Break Your Event.

Years ago, an event organizer told me something that stuck with me:
“I need to engage every single attendee within the first 10 seconds of my event.”

At the time, I thought that sounded like a high bar—but it turns out, he was right. Research shows that first impressions happen fast and they color decisions made much later on. If your attendees feel confused, awkward, or invisible upon arrival, it can significantly impact their entire experience.

But here’s the good news: small shifts can make a HUGE difference.

Engage Before They Arrive

Your event experience doesn’t start at the door—it starts in their inbox.

A thoughtful pre-event email (or two or three) sets expectations, builds excitement, and helps attendees feel confident. Whether you’re hosting a casual chapter meeting or a multi-day conference, your tone should align with the overall vibe of your event.

In your email(s), be sure to cover:

  • What to expect when they arrive

  • How to dress

  • When and where to show up

  • Tips for planning their time (like reading the program and registering early for popular sessions)

And make sure to write in the tone you try to set at your event. Are you looking for participation, idea sharing, and collaboration? Set that tone in your pre-event emails.

Welcome the Moment They Walk In

Think beyond the badge handoff. Registration is a huge opportunity to make people feel seen.

Yes, your team might be busy. But even a warm smile and a personal greeting can shift a guest’s entire experience.

Want to level it up? Try forming a welcoming team. These can include volunteers, board members, or even sponsors who are ready to greet newcomers, engage in small talk, and provide orientation.

If you want your attendees to feel connected, confident, and ready to participate from the start, this video is for you.
